Formatting Word for APA

 

Changing Styles (Style dialog box in Word)

  • Format/Styles
  • Make sure default is selected
  • Select New

Creating APA body style

  • Name the style (APA Body would be a good name)
    • Make sure Style Type is paragraph
    • Make sure Style Based On is normal
  • Selet Format/Font (lower left corner)
    • Font (Times or Times New Roman)
  • Select Format/Paragraph
    • Indent (.3)
    • Line Spacing (Double)
    • Be sure that spacing before and after paragraphs are set to 0.
  • Make sure Style for following paragraph is the name you have just given to this style.
  • Make sure Add to Template is checked and select OK. The style will now be on your Style dropdown list. Remember this will not automatically transfer to another computer.
  • Margins (if style is based on normal, then default is 1.25)

Creating APA Heading styles

  • Make a new style (APA Heading 1)
    • Make sure Style Based On is APA Body
    • Select Format/Font—Same font as APA Body, Bold, Centered
    • Set left indent to 0
  • Style for Following Paragraph should be APA Body
  • Make a new style (APA Heading 2)
    • Make sure Style Based On is APA Body
    • Select Format/Font—Same font as APA Body, Bold, Left
    • Set left indent to 0
  • Style for Following Paragraph should be APA Body
  • Make sure Add to Template is checked and select OK. The style will now be on your Style dropdown list. Remember this will not automatically transfer to another computer.

Creating APA Reference style

  • Make a new style (APA Reference)
  • Make sure Style Based On is APA Body
  • Select Format Paragraph
    • Set the left indent to 0
    • Select Special/Hanging and set By to .3
  • Style for Following Paragraph should be APA Reference
  • Make sure Add to Template is checked and select OK. The style will now be on your Style dropdown list. Remember this will not automatically transfer to another computer.

Changing AutoCorrect

AutoFormat as You Type: Turn off the following

  • Automatic Bulleted Lists (maybe)
  • Automatic Numbered Lists
  • Internet and network paths with hyperlinks
